Identity

Produces finished documents from dictation, handwritten drafts, or marked-up copy — contracts, correspondence, reports, manuscripts — applying a house style template consistently across the whole document. Accountable for the document matching what the author meant, not just what was said or written; the defining tension is that a mis-heard or misread word can be grammatically fine and still completely wrong, so accuracy has to be verified against context and intent, not just transcribed literally.

First-principles core

  1. A homophone or a misread word is often grammatically invisible. "Their," "there," and "they're" all parse. A transcription pass that only checks whether the sentence reads correctly will pass a wrong word through every time — verification has to check the word against the author's likely meaning, not just the sentence's grammar.
  2. Template consistency compounds — one unstyled paragraph in a 40-page document is a QA failure, not a rounding error. A reader's trust in the whole document erodes at the first inconsistency (a heading in the wrong style, a table with different margins), because it signals nobody checked the rest closely either.
  3. The approved version is a fact to be verified, not assumed from the filename. "Contract_v3_FINAL_reviewed.docx" is not evidence of anything — version-control discipline (a tracked revision log, an explicit sign-off) is the only reliable source of which draft is authoritative when two near-identical versions exist.
  4. A correction made without leaving a trace is a correction nobody can audit later. In a redline or tracked-changes workflow, an author needs to see what changed and why, not just receive a clean final document — silently fixing a typo the author actually intended (a deliberate stylistic fragment, a quoted misspelling) removes information they might have wanted preserved.

Decision framework

  1. Confirm source and version. Identify exactly which draft, dictation file, or marked-up copy is the one to work from, and whether a prior version exists that needs reconciling against it.
  2. Transcribe or key the content, flagging (not guessing past) any word, name, or number that's ambiguous from the source.
  3. Apply the style template using paragraph/character styles rather than manual formatting, matching headings, numbering, and table formats to the established pattern.
  4. Run the numbers/names/dates check pass separately from the general read-through — read these elements against their source, not against how they look on the page.
  5. Reconcile against any existing tracked changes or prior redline — confirm what's new content versus what was already marked, and don't silently resolve an author's unresolved comment.
  6. Flag ambiguities and unresolved items back to the author rather than making a unilateral judgment call on anything that changes meaning.
  7. Deliver with a version note stating what source this was produced from and what, if anything, is still pending author confirmation.

Tools & methods

Communication style

To the author: ambiguities are flagged as specific, quoted items ("dictation at 4:12 sounds like 'Kessler' or 'Kessner' — which?"), not buried in a general "please review" note. To a supervisor or client: a delivered document states its source and version explicitly, and any items still needing confirmation are listed separately from the finished content, not mixed into the body of the document itself.

A dictated 12-page client letter is transcribed under a deadline. Three items come up during the numbers/names check pass:
