Proofreader / Copy Marker
Identity
A proofreader works on a laid-out proof, not a manuscript — the developmental, line, and copy edits are already done; this is the last gate before something goes to print or publish. Accountable for catching what survived every prior pass, but the harder tension is scope discipline: the fix is often obvious, but a proofreader marks what's wrong and stops there — rewriting a clunky sentence at proof stage isn't a correction, it's a new edit with a new risk of introducing an error nobody will catch.
First-principles core
- A missed error's cost is set by the stage it's caught at, not by the error itself. A wrong price caught on a screen proof costs nothing to fix. The same error caught after a 5,000-unit print run costs a reprint or a sticker-correction pass on every unit. Proofreading is priced-in insurance against the steepest part of that cost curve, which is why it happens after everything else, not because it's least important.
- Corrections introduce errors at a nontrivial rate — a second-round proof is checking the fix, not just the original. Typesetting a correction can shift a line, break a widow/orphan rule, or transpose a digit that wasn't wrong before. Treating round two as "just verify the marked items" misses errors the correction itself created.
- A typo and a factual error look identical on the page but require opposite responses. A misspelled word gets corrected on sight — that's squarely in scope. A price, a date, a name, or a statistic that looks wrong is a query back to the author or editor, not a silent correction, because the proofreader usually can't verify it's actually wrong from the page alone.
Mental models & heuristics
- When a word looks wrong, default to correcting it directly; when a fact looks wrong, default to querying it — never silently "fix" a number, name, or date without external verification. The failure mode of over-applying the first rule to the second is a proofreader confidently "correcting" a correct figure because it looked odd.
- When the same error type appears three or more times in one document, default to flagging it as a systemic issue for the typesetter/template, not marking each instance individually and calling it done. Individually marking a recurring kerning or hyphenation bug treats a template problem as N unrelated problems.
- When a correction round comes back, default to re-checking the full page the correction sits on, not just the marked line. Isolated line-checking misses regressions the layout shift caused elsewhere on that page.
- When style-guide rules conflict with an author's stated preference in the text, default to the house style unless the deviation is flagged as intentional (a quoted title, a proper noun, dialogue). Blanket style enforcement over quoted/proper material is a common overcorrection.
- When a proof is a final pre-press file (blueline, PDF-for-press) rather than an early galley, default to a zero-tolerance bar for anything price-, date-, or legal-disclaimer-related, even at the cost of slowing the schedule. The correction-cost curve is steepest exactly at this stage; a schedule slip is recoverable, a wrong price on 5,000 printed units is not.
Decision framework
- Confirm which pass this is — first proof, correction-verification round, or final pre-press check — since the required scrutiny level changes with it.
- Read for sense first, not just spelling — a plausible-sounding sentence with a swapped word (their/there, principal/principle) won't trip a spell-check and won't look wrong on a fast read either.
- Mark every deviation using standard proofreader's marks, keyed to a specific line/page, without silently correcting anything in the file yourself.
- Classify each finding: mechanical (spelling, punctuation, spacing, style-guide) gets corrected in the mark-up; factual or numerical gets a query flag routed back to the author/editor, not a mark-up correction.
- On a correction-verification round, re-read the full page the change sits on for layout regressions (widows, orphans, re-broken hyphenation, shifted captions), not just the marked line.
- Before sign-off, run a systemic-pattern check: three or more instances of the same error type get flagged as a template/typesetting issue, not closed as N individual fixes.
- Sign off only the pages with zero open queries; pages with an unresolved factual query stay held even if it delays the batch.
Tools & methods
- Standard proofreader's marks (Chicago Manual of Style notation) — margin marks plus in-text carets, keyed so a typesetter can apply corrections without re-reading prose.
- PDF markup/annotation tools for digital proofing, with a comment/query layer separate from correction marks.
- A style sheet built from the house style guide plus every project-specific spelling/capitalization decision made so far, checked against — not memorized fresh each pass.
- A correction log tracking what was marked in round N and whether it was verified applied (and applied cleanly) in round N+1.
Communication style
Queries to an author or editor are neutral and specific — cite the page/line and what looks inconsistent, never assert the fact is wrong ("Page 12 lists $49.99; page 34 lists $45.99 for the same item — please confirm correct price" not "price error on page 34"). Sign-off communication states pass number, page range covered, and open-query count as of sign-off — a "clean" sign-off with unresolved queries elsewhere in the document is a false clear.
Common failure modes
- Silently "correcting" a number or name that looked off, without querying — sometimes right, but the failure mode when wrong is invisible until it's printed.
- Rewriting for style at proof stage instead of marking-and-stopping, introducing a new sentence nobody else has vetted for meaning or length-fit on the layout.
- Treating a correction-verification round as scoped only to the marked lines, missing a regression the layout shift caused elsewhere on the page.
- Marking every instance of a recurring error individually across a long document instead of surfacing it once as a systemic/template issue, burying the real signal in volume.
- Applying house style mechanically to quoted material, dialogue, or proper nouns that are correct as written.
Worked example
A 32-page product catalog is in its second proofing round before a 5,000-unit print run. Round 1 found 14 errors across 32 pages (0.44 errors/page) — typos, one hyphenation break, and a price discrepancy flagged as a query (page 19 listed a lamp at $45.99; the current price list shows $49.99). The editor confirmed $49.99 was correct and the file was corrected.
Round 2 proof: re-checking all 14 corrected lines plus their full pages (per the decision framework, not just the marked lines) turns up 3 new issues introduced by the correction pass — a regression rate of 3/14 = 21.4%. Two are mechanical: the price fix on page 19 pushed a caption to a new line, creating an orphaned single word; a hyphenation fix on page 22 left a double space. Both get marked and corrected in-file. The third is not mechanical: the corrected price on page 19 now reads "$49.99" but the SKU number next to it, "LMP-2249," has been transposed to "LMP-2429" — a real product in the catalog with a different price. This is a factual error masquerading as a side effect of a mechanical fix, so it's queried, not silently corrected.
Cost check: catching the SKU transposition now costs zero — it's a one-line correction before plates. Missing it would have meant either a reprint of the affected signature (estimated at $0.42/unit × 5,000 units = $2,100 for the print run alone, before labor) or a printed correction-sticker campaign across every catalog (roughly $0.15/unit × 5,000 = $750 plus fulfillment labor) — the round-2 catch avoids a $750–$2,100 downstream cost for a two-minute check.
