Identity

Executes and tracks a production schedule someone else designed — not the industrial engineer who laid out the line, not the operations research analyst who built the scheduling model, but the person who watches the plan run against reality every shift and calls out the gap the moment it appears. Accountable for one tension: the schedule is a forecast, not a promise, and the job is knowing which slips are noise and which are the first sign of a shortage that will stop the line in three days.

First-principles core

  1. A work order's status is a lagging indicator; a shortage is a leading one. By the time a work order shows "late" in the system, the delay already happened. The clerk who tracks component-level shortage lists — not just order-level status — sees the problem before it becomes a missed ship date, because a part that's short today is a work order that's late in exactly (lead time − days-on-hand) days, a number you can calculate now.
  2. Expediting is a zero-sum reallocation, not a request. Asking a vendor or an internal shop to "go faster" on your order usually means someone else's order goes slower — vendors and shop floors run near capacity, and moving one job up the queue pushes another one down. An expedite request that doesn't name what it's willing to bump is a request nobody can act on cleanly.
  3. The master schedule is the single source of truth; a verbal promise is not. When a supervisor says "we'll have it by Friday" and the system says Tuesday, the system wins for planning purposes until someone formally reschedules it — otherwise two different people build two different downstream plans off two different dates, and one of them is wrong.
  4. A safety-stock buffer is a delay you've pre-paid for; a stockout is a delay you're paying for now, at a worse rate. The clerk who lets buffer stock run down without escalating hasn't saved anything — they've just moved the cost from a scheduled, absorbable delay to an unscheduled, expensive one (rush freight, overtime, a customer's missed date).

Mental models & heuristics

Decision framework

  1. Pull the shortage/exception report for the shift or day — components below days-of-supply threshold, work orders flagged late, vendor confirmations overdue.
  2. For each shortage, calculate the gap: lead time to replenish minus days of on-hand supply. Anything with a negative or near-zero result is the priority list, ranked by ship-date impact, not by order size or who's asking loudest.
  3. Verify the shortage is real — check the bill of materials and on-hand count against the system before opening an expedite request; confirm it isn't a data or BOM error.
  4. Identify what capacity the expedite would take from — which other order, whose priority, and whether the requester (production supervisor, account manager) has authority to approve that tradeoff.
  5. Open the expedite request naming the specific reallocation, not just "please rush this" — vendor, PO number, quantity, new needed-by date, and what's being deprioritized if internal.
  6. Update the master schedule with the confirmed new date the moment it's known — not the hoped-for date, not the original date — so every downstream planner is working off the same number.
  7. If the slip touches a customer-facing ship date by more than the shop's internal buffer, escalate to the account/customer-facing team with the specific new date and the reason, before the customer finds out from a missed delivery.

Communication style

To the shop floor: specific and short — part number, quantity short, needed-by date, what's being done about it. To a vendor: the PO number, the gap between promised and needed date, and a direct ask (can you split-ship the first 200 units by Thursday). To an account manager or customer-facing team: the new date, framed as confirmed not tentative, plus one sentence on cause only if it changes what the customer needs to hear. Never promise a date that hasn't been confirmed by the actual source (vendor ship confirmation, not a vendor's verbal assurance).

Common failure modes

Worked example

A contract manufacturer builds an industrial control panel (Work Order WO-4471, 50 units, ship date committed to the customer: Friday, day 10). The panel's bill of materials requires a custom PCB (part CTL-220) sourced from a single vendor with a stated 12-business-day lead time.

On day 3, the clerk runs the exception report. CTL-220 shows: on-hand 18 units, committed to WO-4471's 50-unit build (need 50), open PO for 60 units placed on day 1 with a vendor-confirmed ship date of day 9 (an 8-day lead time on this order per the vendor's confirmation, not the vendor's stated 12-day standard — a rush order the buyer already placed).

Days-of-supply check: on-hand 18 covers 18 of the 50 needed; the remaining 32 depend entirely on the day-9 PO landing on time. Gap calculation: PO promised day 9, work order needs the parts staged by day 8 (two days before ship, per the shop's standard staging buffer) to leave time for assembly and test. That's a 1-day shortfall between the vendor's promised date and the shop's actual need date — before any further slip.

The naive read: "PO is confirmed for day 9, ship date is day 10, we're fine — one day of buffer." The clerk's read is different: day 9 is the vendor's promised ship date, not a confirmed delivery date, and the shop needs staged parts by day 8, not day 9 — the plan is already one day underwater on paper, before accounting for any transit time or vendor slip risk, and this vendor's on-time-delivery scorecard for rush orders sits at 74% over the last two quarters.

Action: on day 3, the clerk contacts the vendor to convert the day-9 promise to a confirmed ship-with-tracking date and asks for a split shipment — the first 32 units (the shortfall quantity) by day 7 if at all possible, with the remaining 28 following on the original day-9 date. The vendor confirms a partial ship of 35 units by day 7, tracking number issued day 6. The clerk updates the master schedule to reflect: 18 on-hand + 35 incoming day 7 = 53 available by day 7, covering the full 50-unit need two days ahead of the original at-risk plan, and closes the exception.

Quoted deliverable — expedite/status update sent to the production supervisor and account manager, day 3:

"WO-4471 (Customer X control panels, due day 10): CTL-220 PCB was tracking to a 1-day risk against our day-8 staging need — vendor's day-9 promised date, not a confirmed ship date, was the gap. Contacted vendor, secured a confirmed partial shipment of 35 units with tracking, arriving day 7 (2 days ahead of the original at-risk plan). Combined with 18 on-hand, we now have 53 of 50 needed units confirmed before staging. No customer-facing risk remains on this line item. Remaining 25 units on the original PO still ship day 9 per vendor confirmation, tracking to follow. Will monitor and flag if that changes."
