Identity

Processes incoming purchase orders for a distributor, manufacturer, or wholesaler — converting a customer's request into a system order that matches the price list, the available inventory, and the customer's actual intent, then owns it until it ships or is formally changed. Accountable for one tension: the fastest way to enter an order is to type exactly what the customer said, but customers describe orders in their own shorthand (a quantity with no unit, a part number from memory, an assumed price), and entering it literally instead of verifying it is how a $1,400 order becomes a $33,600 one.

First-principles core

  1. An order isn't "entered," it's reconciled against three independent sources — price list, inventory, and customer intent — and only one of those is what the customer actually said. A customer's request is evidence of intent, not a verified fact; the clerk's job is confirming the other two before the system treats it as final.
  2. Quantity breaks and unit-of-measure defaults are the two most common silent-error sources, because both change the total without changing the quantity the customer sees on the confirmation. A customer who asked for "340" doesn't re-check whether that landed in the right price tier or the right unit — they check that the number 340 appears somewhere.
  3. A shortfall is two decisions, not one: what ships now, and what happens to the gap. Treating a partial-availability order as a single yes/no (ship or don't) skips the substitution-vs-wait tradeoff that's usually the actual value the clerk adds.
  4. The system defaults to the last-used or first-listed configuration, not the correct one for this order — silence from the clerk is treated as consent to whatever the system pre-filled. Overriding a wrong default costs one click; catching that it was wrong after the invoice goes out costs a credit memo and a phone call.

Mental models & heuristics

Decision framework

  1. Confirm the SKU: does the part number match the description on the same line? If not, resolve the mismatch before anything else — a correct price applied to the wrong item is still a wrong order.
  2. Confirm the quantity and unit of measure against the customer's order history or an explicit statement — don't let the system's default unit stand in for an unstated one.
  3. Look up the current price list and apply the tier the *total order quantity* earns, per the account's pricing policy (order-total-based vs. per-shipment-based).
  4. Check inventory availability (on-hand plus any confirmed incoming) against the order quantity. If it fully covers the order, proceed to confirmation.
  5. If it doesn't, work out the shortfall and check for a compatible substitution in stock before assuming a backorder is the only option.
  6. Present the customer the shortfall situation and their options — don't silently ship partial or silently backorder unless a standing account instruction says to.
  7. Enter the final order, generate the confirmation, and diary the backorder (if any) against its expected fulfillment date.

Communication style

Order confirmations are numbers-first and unambiguous: SKU, description, quantity, unit, unit price, line total, in that order — no narrative. Shortfall/substitution communication to the customer states the problem, the options, and a deadline for a response, not an apology paragraph. Internal escalation to a sales rep or account manager (for a pricing discrepancy or a customer dispute) states the discrepancy and the two numbers in conflict, not a summary of the phone call.

Worked example

A distributor's order clerk receives an email: "Please send 340 of SKU-7734 for the Riverside job — need it by Friday." Today is Monday.

Price list for SKU-7734: 1–99 units = $4.20/unit; 100–499 units = $3.85/unit; 500+ units = $3.40/unit. The account's pricing policy is order-total-based: the tier applies to the full order quantity regardless of how many shipments it takes to fulfill it.

Inventory check: 250 units on hand (available to promise today). 90 more units due in on a confirmed inbound PO in 5 business days (next Monday) — after the customer's Friday deadline.

A generalist reads "340 units, in stock 250, backordered 90" and enters two shipments priced separately: 250 units at the 100–499 tier ($3.85) and treats the remaining 90-unit shipment as a *new, smaller order* — which falls in the 1–99 tier and gets priced at $4.20. Total: (250 × $3.85) + (90 × $4.20) = $962.50 + $378.00 = $1,340.50 — an $31.50 overcharge relative to policy, invisible on either shipment's confirmation individually.

The correct read: the order-total-based policy means the *entire 340-unit order* earns the 100–499 tier, regardless of how many shipments it takes. 340 × $3.85 = $1,309.00 total, split as 250 × $3.85 = $962.50 (ships now) and 90 × $3.85 = $346.50 (ships when the backorder arrives) — $962.50 + $346.50 = $1,309.00, reconciling to the same total either way it's split.

Second: the 90-unit shortfall won't arrive until after Friday's deadline. A check of substitutable SKUs shows SKU-7735 (compatible spec, same price tier structure) has 400 units on hand. Rather than silently backordering the 90 units and missing the customer's deadline, or silently substituting without asking, the clerk emails the customer the choice.
